Privacy Policy

Cancellation & Withdrawal Policy

We understand that plans can change. Our cancellation and withdrawal policies are as follows:

  • Regular Classes: You may withdraw your child at any time with one month’s written notice effective from the 1st of the month. Withdrawals must be submitted through our official withdrawal/cancellation form.
  • Camps: Cancellations made at least 3 weeks prior to the camp start date will receive a full refund minus a $50 administrative fee. No refunds will be issued for cancellations made within 3 weeks of the camp start date

Registration

  • No registration fee is required for new enrollments.
  • There is no long-term commitment—students may withdraw with one month’s notice as per our withdrawal policy.

Communication

  • Arduino Robotics communicates primarily via email for non-emergency updates.
  • You will receive emails regarding class updates, programs, events, and news.
  • By enrolling, you agree to receive these communications. You may unsubscribe at any time.

Emergency Medical Release

In case of injury or serious illness, you authorize Arduino Robotics staff to seek emergency medical treatment for your child. If transportation to a medical facility is required, the emergency response team will make that decision.

Media Release

You give permission to Arduino Robotics to photograph, film, record, or videotape your child and their work. These materials (“Works”) may be used for promotional purposes including on our website, social media platforms, printed materials, and within our facility.

Recurring Payment Policy (Regular Classes Only)

  • Monthly tuition is charged at the start of each month and is non-refundable once processed.
  • Any changes to payment method or cancellation of pre-authorized drafts must be communicated 7–10 days before the next billing date.
  • Returned or bounced payments will incur a $25 service fee.
  • Monthly fees are fixed, regardless of how many classes occur in a month. Fewer classes in one month will be balanced by additional classes in other months.
  • Missed classes will not be prorated, credited, or refunded.

Payment Options:

  1. Pre-authorized Debit: Provide a void cheque on the first day of class for automatic monthly withdrawals.
  2. Post-dated Cheques: Submit 6 post-dated cheques on the first day of class. Unused cheques will be returned if you withdraw (see withdrawal policy).
  3. In-Person or Phone Setup: You may also set up payments by visiting or calling the center.

Missed Class / Make-Up Policy

  • Regular Classes: Two make-up classes are allowed per quarter, provided advance notice is given. Drop-ins are not permitted. Missed make-up classes will not be rescheduled.
  • Camps: Make-up sessions are not available for camps.

Schedule Changes

To ensure consistency, only one permanent class schedule change is allowed per school year (September–June). As instructors may vary, this policy helps maintain continuity for both students and coaches.

Late Pick-Up Policy

We ask that all students be picked up on time. If you are running late, please contact the center as soon as possible. Due to limited availability, we cannot guarantee accommodations for late pick-ups.

Extreme Weather or Unexpected Closures

  • Check your email or our Facebook page for real-time updates on weather-related closures.
  • Regular Classes: If we cancel a class due to weather or unforeseen circumstances (e.g., power outages), a make-up session will be offered. Please coordinate with the front desk.
  • Camps: Make-up sessions will not be provided.

Virtual Classes

  • Classes are conducted via Zoom, and punctual attendance is expected.
  • Advance notice of absence is appreciated to help us plan effectively.
  • Students will need a laptop; a headset and mouse are recommended.
  • Note: Some applications may not be compatible with Chromebooks. Please contact us to discuss specific technical requirements.
